Providing a bespoke solution for the brand owner
Epositiv was asked to create a solution that enabled all franchisees to have the support of the Epositiv team and technology to protect them and the international brand from any investigation and subsequent penalties and local and national damage to the brand’s reputation.
However, as a franchise-led business model with over 250 stores, we needed to ensure that our solution met the best practice guidelines concerning GDPR as well as Right-to-Work legislation.
We had to ensure that the data we processed was not accessible to any other franchisee or brand owner - but also that, with many multi-site franchisees, that they could access all of their sites and drill down to individual sites.
The solution & Technology
Create a solution that was accurate and fully supported
We created a hierarchy within the Dashboard enabling every franchisee to see their stores only. We then enabled all individual retail managers to access their staff information but not those of other stores operated by the same franchisee.
We added an alert system so that when any documents were within three months of expiry we alerted both the employee and the employer that action was required to make certain that the individual’s Right-to-Work was not ‘lost’ and to make sure that action was taken to protect the business owner and brand owner.

Our intelligent solution gained us ‘buy-in’ from both the franchisees and the Head Office. The franchisees appreciated that the information provided was not shared with HQ and that the Right-to-Work checks were able to be completed on a mobile device for prospective employees. They also enjoyed the security that their Dashboard alerted them when documents, including education timetables, were close to expiration.
HQ recognised that their brand was being protected from Right-to-Work issues and that they were not deemed to be the Data Controller as they were never in sight of the checks or the results of the check.
Our fast, easy-to-use Right-to-Work checks made onboarding recruits swift and professional with no delays due to RTW and with the likeness check confirmed online we held all the relevant information for Statutory Excuse within the franchisee’s own dashboard.
